Hatching Dragons Absence Notification Policy

Approved Notification Method

All absences—whether due to illness, holidays, or other personal reasons—must be reported via the eyparent app. This automatically updates the nursery’s digital register and supports efficient staff planning.

You can also submit the Sickness Notification Form or fill it out directly below

For any planned holidays, you can also use the holiday form below

2. How to Report an Absence (Parent Guidance) on EY Parent App

Parents should follow these steps:

  1. Open the eyparent app and go to the Home screen.

  2. Tap Report Absence.

  3. Select the relevant dates of absence.

4. Restrictions in the App

Please note:

  • You cannot report an absence if your child is already signed in.

  • You cannot overwrite a previously reported absence.

  • You cannot submit an absence after the daily diary has started

For such cases, please call the nursery directly to ensure accurate records.

5. Follow-Up & Reintegration

  • If your child has been off for 3 days or more due to sickness, the nursery may request a doctor’s note or health confirmation before returning.

  • For extended absences (holidays longer than 2 weeks), a return-to-school catch-up meeting may be scheduled.

  • Persistent short-notice or frequent absence may lead to a review meeting with school management.

6. Implications for Fees and Attendance

  • As per our Terms & Conditions, fees are payable regardless of absence.

  • Absences are not refundable unless specifically agreed by management (e.g. under promotional holiday hold schemes, if any).

  • Frequent absences without communication may risk forfeiting your child’s place if there is a waiting list.

7. Safeguarding Responsibilities

  • Daily non-notified absences trigger a same-day follow-up call to parents, in line with safeguarding and welfare protocols.

  • Repeated failures to notify absences will be logged and may be escalated.
