Policy: Notice Periods by Job Level

In this article, we define the notice periods by seniority applicable across each area of the business and to map out the procedures that allow us to ensure the staff are on the right notice relative to their seniority within the business

1. Purpose

This policy sets out the required notice periods applicable to all staff employed across the Hatching Dragons Group and outlines the associated HR procedures for communication, onboarding, and documentation via BambooHR. The aim is to ensure fairness, transparency, and operational continuity when employees resign or have their contracts terminated.


2. Policy Statement

The notice period is the amount of time an employee must provide before leaving their post or must be given if the company terminates employment. Notice periods allow for adequate handover, continuity of service, and time for recruitment and transition planning.


3. Notice Periods by Role Classification

The following notice periods apply across the business:

Role Classification Minimum Notice Period Required
Senior Managers (e.g. Head of School, Executive Team) 3 months
Junior Managers (e.g. Room Leaders, Coordinators, and any Central Team staff below Director or Executive level) 2 months
Non-Managerial / Floor Staff (e.g. Early Years Practitioners, Kitchen Staff, Housekeepers) 1 month
These notice periods apply both ways – employees are expected to give this notice when resigning, and the company must observe the same period unless summary dismissal is warranted.

4. HR and Personnel Management Responsibilities

Personnel managers and any staff responsible for HR induction and administration must:

  1. Knowledge Base Compliance
    Ensure this policy is added as a dedicated article within the BambooHR Knowledge Base under “HR Policies >Notice Period”.

  2. Induction Integration
    Include this policy in all new starter onboarding and induction training via BambooHR.

  3. Acknowledgement Requirement
    Share the direct link to the BambooHR policy page with all new and existing employees and ensure they:

    • Click to acknowledge and accept the policy in BambooHR.

    • Electronically sign a PDF version of this policy, issued via BambooHR’s e-signature functionality.

  4. Personnel File Archiving
    Ensure the signed PDF is:

    • Saved to the employee’s personnel file in BambooHR.

    • Clearly labelled as “Notice Periods Policy – Signed Acknowledgement”.


5. Policy Review

This policy will be reviewed annually by the Head of People and the Executive Team to ensure alignment with best practice and changes in employment law.
